An experience letter is the document that proves where you've worked, in what role, and for how long. When you change jobs or apply for a skilled-worker visa, it's often the first thing the new employer or consulate asks for. Getting the format right means it's accepted the first time — here's what a proper experience letter looks like.
The standard experience letter format
- Company letterhead with address and a reference number
- Date of issue
- 'TO WHOM IT MAY CONCERN' heading
- The employee's full name and (optionally) ID/passport number
- Designation and department
- Date of joining and — if the person has left — the last working day
- A line on the type of employment (full-time, part-time, contract)
- An optional sentence on key responsibilities
- A line confirming conduct and performance were satisfactory
- Signature, name and designation of an authorised signatory, plus company stamp

"This is to certify that Mr. Ahmed Raza Khan was employed with Gulf Tech Solutions LLC as a Senior Accountant in the Finance department from 1 March 2021 to 30 April 2026. During this period, his conduct and performance were found to be satisfactory. We wish him every success in his future endeavours. This certificate is issued upon his request."
Experience letter vs relieving letter
People often confuse the two. An experience letter certifies your role and tenure and can be issued at any time, even while you're still employed. A relieving letter is issued only when you leave and formally confirms your last day and that you've been released from your duties. Many companies combine both into one document on your final day.
Should it mention salary?
Usually not. An experience letter is about your role and dates, not your pay. If you need income confirmed — for a bank or visa — request a separate salary certificate, which is the document those authorities expect for proof of income.
